About the Role

Reporting to the Director Shared Services, you will play a pivotal role in ensuring the smooth operation of our National Office. Your responsibilities will include providing administrative support, overseeing staff and resources, and managing day-to-day operations efficiently. Your ability to foster effective communication and maintain meticulous task management will be crucial to the success and seamless functioning of our National Office.

This role is a 12 month full time maximum term contract, this role will require you to work onsite at our Newcastle National Office, the working hours are 8:30am to 5.00pm Monday to Friday.

Key Responsibilities

  • Lead, motivate, and manage a small team
  • Efficiently handle phone enquiries and visitor greetings
  • Provide prompt and professional responses to queries from internal and external stakeholders
  • Ensure general administration tasks are completed within requirements
  • Organise and execute events, including venue booking and guest coordination
  • Maintain office presentation standards, manage supplies, and monitor expenses
  • Coordinate office maintenance, repairs, and security
  • Manage risks and promote positive stakeholder relationships
  • Develop and maintain operational systems and procedures
  • Maintain stakeholder CRM database and correspondence

Skills & Experience

  • Qualification in Business Administration, Community Services, or related field, or equivalent experience
  • Current Driver's License
  • Experience in a fast-paced environment and providing executive support
  • Team leadership and management experience
  • Project coordination and event management skills
  • Ability to manage competing priorities and maintain confidentiality
  • Strong interpersonal, communication, and negotiation skills
  • Problem-solving skills and ability to work independently and in a team
  • Proficient in Microsoft Office suite

Successful candidates will be required to clear probity checks including National Criminal History Record Check and Working with Children Check (where relevant to the role).
