BOARD COORDINATOR – LEGAL

As our Board Coordinator, reporting to the Group Company Secretary, you will provide support to the Company Secretary team to ensure the smooth and efficient running of Board and Committee meetings and governance activities.

This is a fantastic opportunity where you will assist the Legal team with a range of administrative tasks and play a pivotal role in their ability to be agile and prioritise urgent requests and extraordinary meetings.  

 

A few of your responsibilities

  • Assist the Company Secretary team with a range of administrative functions including travel arrangements, completion and submission of expense reports, processing of invoices and tracking of purchase requests, maintaining budget tracking, and credit card reconciliations.
  • Assist the Company Secretary team with the coordination and facilitation of meetings, events and activities for the Board and Committees, including calendar management, organisation and distribution of required materials, arranging catering, arranging video conference and teleconference equipment as required - experience using Diligent will be highly regarded.
  • Coordinate the preparation and distribution of Board and Board Committee papers, agendas and minutes, and then prepare Board, and Board and Committee minutes for signature by the Chairman.
  • Maintain an effective process to ensure on time servicing of all Board administration requirements (e.g. deadlines for distribution of Board papers).

 

What we are looking for

  • Demonstrated experience participating in, and contributing to, a range of administrative functions
  • High level of comfort interacting with directors
  • Ability to support teams across multiple businesses and locations
  • Experience working in fast paced service industries
  • Demonstrated ability to maintain a high level of confidentiality
  • Comprehensive skills/knowledge of the Microsoft suite of products including Outlook, Word, Excel, and PowerPoint
  • Experience working with senior management or in a legal and/or company secretariat environment would be highly regarded

You are a seasoned, organised and highly motivated administrator with in-depth knowledge of board and company secretary requirements within complex and highly regulated environments. You thrive on the challenges that come with competing priorities and tight deadlines, where attention to detail is critical. You are an excellent communicator and enjoy working as part of a dynamic team.
