About the role

This is a full time, permanent opportunity based at our Leederville office with the benefit of working from home a few days a week. The Administration Officer's role is to assist the Senior Leadership Team (SLT) of our Child Youth & Family Services by performing a wide range of administrative tasks including reception, scheduling meetings and appointments, maintenance of reports and registers, as well as building relationships with our fantastic team of staff who support children in care.  This role reports to the Executive Support Officer for the state.

Key Responsibilities

  • Provide administrative support to the Operations Managers and their team
  • Create, update, and maintain registers with sensitive client information in line with organisational policies and procedures
  • Schedule appointments, meetings and teleconferences and provide secretarial support to meetings
  • Prepare electronic presentations
  • Coordinate meeting requirements - catering, room, equipment & document preparation
  • Maintain and update diaries for the Operations Managers
  • Production of reports as required
  • Booking travel and accommodation arrangements

 

Skills & Experience

  • High level administrative skills and experience in providing support and assistance to management or finance setting
  • Strong written and oral communication, interpersonal and customer service skills
  • Ability to manage sensitive information and maintain a high degree of confidentiality
  • Effective time management and organisational skills
  • Proficient in using Microsoft Office suite programs
  • Current Australian Drivers Licence
